Define exclusions that are unrelated to sentiment, including duplicate records, test jobs, invalid contact details or people the business is not permitted to contact. Document the trigger, owner, request channel, reminder limit, suppression rules and manual recovery route before automation starts.

Send the same core invitation and Google destination to every eligible customer. A private feedback option may also be offered for service improvement, but it should not replace, hide or condition access to the review link. Google's guidance encourages businesses to remind customers to review and to value honest, balanced feedback. It does not promise how many people will respond or what rating they will leave. What should the request message and destination include?

Keep the request short and optional: identify the business, refer accurately to the completed service, invite an honest review and provide the official Google review link or QR code. Do not ask for five stars, name a staff member the reviewer must praise, supply suggested claims or offer a discount, prize or future benefit. Confirm that the link reaches the correct profile before every campaign.

Use only a contact route the business has approved for this purpose, honour opt-outs and avoid placing private job details in the message or public reply. Google's review guidance notes that customers need a Google Account, though it need not use Gmail. The process should fail safely when the customer, service event, destination or permission status cannot be confirmed. Keep a manual send option when automation cannot verify those inputs.

How should positive, negative and policy-violating reviews be handled?

Respond selectively where a useful answer, correction or update will help, rather than posting the same promotional reply everywhere. For criticism, acknowledge the concern professionally, protect personal information and invite an appropriate private service conversation without arguing about confidential facts. A public reply should not pressure the reviewer to change or remove a rating, and service recovery should not be exchanged for doing so.

Flag a review only when there is a genuine policy reason, not merely because it is unfavourable.
